How to delegate tasks and give feedback

  • Make sure you create a profile on Monday with a headshot image and your full name. This is the first step in building our relationship and we want to know who you are!
     

  • Communication is key when it comes to delegating tasks. We have prepared this task submission form for you to cover all the necessary items of your design ask.
     

  • Please be as detailed as possible in the descriptions. Bullets are best! If easier, feel free to share a screen recording or Loom with us whenever possible for maximum context.
     

  • Make sure you always use the form to submit tasks, not the board itself.
     

  • Let us know ahead of time if you think the task will be part of a larger project. We may want to schedule a call to discuss.
     

  • Give us your expectations - do you want us to be creative or follow your detailed instructions to a T?
     

  • Make sure all necessary assets that we may need are included with a link in your brief. If it is a Google Drive or Dropbox folder, make sure it is shared so everybody in our team can access it.

  • For larger website design projects, we recommend reaching out to us and scheduling a separate call to make sure we are on the same page.
     

  • Please provide a sitemap using Octopus.do or any other program for website design projects and be as descriptive as possible.
     

  • When giving feedback, please let us know exactly what you like and don’t like. Knowing your preferences will allow us to improve the work we do for you overtime.
     

  • Take your time to gather all your feedback and try to send everything through in one comment instead of multiple ad-hoc messages every time something else comes to mind. Otherwise, it is very easy to miss a comment and go through another round of revision. For a guide on how to submit feedback, read through this document here.
     

  • Please be cognizant of the deadlines that are given. If you are using the designs for clients, please keep their deadlines in mind as well before requesting the turnaround time. Note that if your descriptions are incomplete and we need additional information, that may impact the due date you request.

  • Tell us your goals! This will give us a better understanding of what your designs are working towards.

  • Tell us about the audience - who should we be catering to? Is this designed for B2B or B2C?

  • Always helpful to draw inspiration - if you need a fresh concept, feel free to send over some ideas of other sites or designs that you have looked into.

  • Make sure we have all the necessary assets we need to complete the project. Sending over vector files or high-resolution product images for graphics is often very helpful.

  • Schedule a call with us for additional context! We want to make sure we get it right the first time.

  • Make sure you hard refresh and empty cache before giving feedback. It will take some time for updates to filter through.

  • For an existing site, make sure we have a login to access. This can either be shared or newly created.

  • For more technical issues, it is always more helpful to have a screen recording that follows your brief. If we're not seeing it on our end, we'll reach out and may need to schedule a chat.

How NOT to delegate tasks and give feedback

  • Do not request new tasks in the comment section of another task. Always use the task request form.

  • Do not assume we have the same ideas in your mind when you use words like modern, fresh, futuristic, or another adjective - please be descriptive.

  • Please try to write out sentences for your comments and feedback in one thought, rather than sending multiple lines of text.

  • Keep in mind what is just a "task" or what will end up being a larger "project." Larger projects will often require multiple tasks and sometimes a broader scope. If you need a series of tasks for a project, start with one concept (the first task) and go from there. If you need to provide additional context, reach out and we will be sure to support you.

Things to keep in mind

  • We don’t work on weekends and federal holidays. Make sure your due date accounts for the appropriate amount of business days.

  • Feel free to fill up your task queue. You don’t need to wait until the previous task is completed. It also helps us to manage the workload.

  • When adding multiple tasks at once, please choose only one task with a high priority.

  • Please make sure that you have your projects planned out and structured into single pages before requesting a website redesign. If project management is not your thing, please book a call with us and we will help you out with it as much as possible.
